Privacy notice
Last updated 4 November 2026
This notice explains how The Entertainment Office uses the personal data of entertainers who join EntsOffice.com, of the people who recruit through it, and of visitors to the site.
1. Who is responsible for your data
Midas Entertainment Ltd, trading as The Entertainment Office (EntsOffice, we), company number 08261300, registered office Verity Crescent, Canford Heath, Poole BH17 8TT, is the controller of your data. We are registered with the Information Commissioner’s Office under reference ZA773463. Contact us about your data at support@entsoffice.com.
2. Entertainers: what we collect and why
| Data | Examples | Why we use it | Lawful basis (UK GDPR) |
|---|---|---|---|
| Account details | Name, email, phone, password, confirmation that you are 18 or over, and your agent’s name and contact details if you have one | To run your account and contact you | Contract (Art. 6(1)(b)) |
| Profile | Headshot, showreel links, skills and experience levels, training, credits, where you live, whether you would relocate or work abroad, availability | To show you to recruiters and match you to jobs | Contract |
| Checks you tell us about | Whether you have the right to work in the UK, whether you hold a DBS check, driving licence, documents for work at sea | So recruiters can see whether you meet a job’s requirements | Contract |
| Activity | Applications, shortlists, which recruiters viewed you, audition and self-tape invites, offers and bookings. Recruiters may also keep private notes and scores from auditions | To run introductions and auditions | Contract; legitimate interests (Art. 6(1)(f)) |
| Problems you report | What you tell us when you report a problem with a job or recruiter | To respond, point you to help and keep jobs safe | Legitimate interests; vital interests where someone is at risk |
| Marketing choices | Whether you asked to hear about PaidToPerform training | To send those emails only if you said yes | Consent (Art. 6(1)(a)) |
| Technical data | IP address, device and browser | Security and keeping you logged in | Legitimate interests |
Please don’t put health information, or anything about your ethnicity, religion, sexuality or politics, in your profile. If a job needs health information (for example a medical certificate for work at sea), share it directly with the recruiter after you are booked.
3. Recruiters, guests and visitors
If you recruit through EntsOffice, we use the contact and business details you give us to run your company’s account, answer enquiries, invoice you and send service messages, on the basis of contract and our legitimate interests. If a recruiter adds you to an audition as a guest, we use the name and email they give us to send you the invite, only where they confirm you agreed to it. If you send us an enquiry through the site, we use your details to reply. We send marketing only with your consent or where the law allows, and you can opt out at any time.
4. Who sees your data
- Recruiters registered on EntsOffice can see your profile while it is visible. They do not get your phone number or email until you accept their audition invite. If you list an agent, they get your agent’s details instead of yours.
- Your agent, if you add one, can see and manage your applications to the level you choose.
- Recruiters outside the UK. Some jobs are abroad. If you apply to a job with an employer outside the UK, your profile is shared with them. Where that country does not have UK adequacy status, we use the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.
- Service providers acting for us: Netlify (website hosting), Supabase (database and file storage, in London) and Resend (email). Showreels play from YouTube or Vimeo, using YouTube’s privacy-enhanced mode. They may use your data only on our instructions.
- Advertising platforms (Meta, TikTok and LinkedIn), only if you accept advertising cookies. See section 8.
- Authorities where the law requires it, or to protect someone at risk.
We never sell your data.
5. How long we keep it
| Data | How long |
|---|---|
| Profile and account | While your account is open. If you don’t log in for 24 months, we may delete your profile, after emailing you first |
| Applications, auditions, offers and bookings | 2 years after the last activity, or longer if needed to settle a dispute about fees |
| Problems you report | 3 years after the report is closed |
| Records needed for tax or legal claims | Up to 6 years |
When you delete your account, your profile is removed straight away. Recruiters who already received your details keep them under their own privacy notice.
6. Your rights
You can ask us for a copy of your data, or ask us to correct it, delete it, restrict or object to how we use it, or move it to another service. Where we rely on consent, you can withdraw it at any time in your settings. Most of this you can do yourself in your settings. We reply within one month.
7. Matching
We use your answers to show you jobs with a % fit, and to show recruiters relevant profiles. We don’t make decisions that have legal or similarly significant effects on you by automated means alone: recruiters decide who to invite and hire.
8. Cookies
Some cookies and similar storage are needed for the site to work, such as keeping you logged in and the site secure. These are always on.
When you arrive from one of our own links, for example a social media post, we note which link it was for that visit only. If you then sign up or send an enquiry, we keep that note with it, so we know which posts are worth making. This note stays with us.
Advertising cookies, only if you say yes. If you press “Accept” on our cookie question, our public pages also load advertising tags (“pixels”) from Meta (Facebook and Instagram), TikTok and LinkedIn. They tell those companies that your browser visited our site, and whether you then sent an enquiry or created an account, so we can measure our ads and show them to people likely to be interested, including you. We don’t send them your name, email or anything you type into a form, and the tags never run on logged-in pages. Those companies use this data under their own privacy notices and may process it outside the UK. Our lawful basis is your consent. If you press “No thanks”, or don’t answer, none of these tags load. We ask again after 12 months.
You can change your mind at any time: , or use “Cookie settings” at the bottom of any page.
9. Complaints
If you are unhappy with how we use your data, contact us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
10. Changes
We will tell you about important changes to this notice by email and on the site.
